1. Who we are

Sun Training Systems is a corporate training and executive coaching firm founded in November 2014 and based in Bengaluru, India. Our founder is S Venkattesh Prasanna.

For anything in this policy you can reach us at suntraining2014@gmail.com. Our registered address is Bengaluru, Karnataka, India.

In the language of the Digital Personal Data Protection Act, 2023, Sun Training Systems is the Data Fiduciary for the personal data described here, and you are the Data Principal.

2. What we collect

We do not ask for sensitive personal data such as health, financial account or biometric information, and we ask you not to send it through the website forms.

Discovery call and enquiry forms: your name, phone or WhatsApp number, the programme you are interested in, your preferred date and time, and anything you write in the message field.
Free guides and newsletter: your email address, and your name and company where the form asks for them.
Book orders (when checkout is live): your name, delivery address, email, phone and order details. Card and payment details go directly to the payment gateway and are never stored by us.
Messages you send us: the content of emails, WhatsApp messages and call notes when you contact us.
Technical data: IP address, browser type, device type, pages visited and referring page, collected by our hosting provider and by analytics once analytics is switched on.

3. Why we use it and on what basis

We do not sell your personal data. We do not use it for automated decision making or profiling.

To reply to your enquiry, arrange a discovery call and prepare a proposal. Basis: your consent when you submit the form.
To deliver the free guide, book or course you asked for, and to fulfil an order. Basis: performance of the service you requested.
To send occasional emails about programmes, the book and new resources. Basis: your consent, which you can withdraw at any time.
To send you a free guide you asked for, and to follow up about it. We keep the name, email and phone number you give on that form. Basis: your consent when you submit it.
To keep the website secure, measure how it performs and improve it. Basis: our legitimate business interest in running the site.
To meet tax, accounting and other legal duties. Basis: legal obligation.

4. Who we share it with

We share personal data only with service providers who help us run the website and the business, and only as far as they need it:

Website hosting and content delivery.
Email delivery for form notifications and confirmations.
Calendly, which runs the booking calendar embedded on our home page. When that calendar loads, Calendly receives your IP address and sets its own cookies, and it receives the name, email and answers you give when you book.
A customer relationship tool for enquiry records.
Razorpay, which processes payments for the book. Razorpay receives your name, email and payment details. We never see your card details.
Analytics, once it is switched on, in an aggregated form.

These providers process data on our instructions under contract. Some of them may store data on servers outside India, with safeguards required by law. We also disclose data where a law, court or government authority requires it.

Razorpay is named above because the book checkout is live. The remaining providers are being finalised and will be named here before launch.

5. How long we keep it

Enquiry and discovery call records: up to 3 years from your last contact with us, so we can follow up on training needs.
Client and order records: as long as the law requires for tax and accounting, which is currently 8 years.
Newsletter and free guide records: until you unsubscribe or ask us to erase them.
Website and analytics logs: up to 26 months.

When a period ends, we delete the data or anonymise it.

6. Your rights

Under the Digital Personal Data Protection Act, 2023 you may ask us to:

give you a summary of the personal data we hold about you and who we have shared it with,
correct, complete or update data that is wrong or out of date,
erase data we no longer need for the purpose it was collected for,
withdraw consent you gave earlier, which we will act on as easily as you gave it,
nominate another person to exercise these rights on your behalf if you die or become unable to act.

To use any of these rights, email suntraining2014@gmail.com with the words "Privacy request" in the subject. We reply within 30 days. There is no charge.

Please note that the law also asks you to give correct information and not to raise false or frivolous complaints.

7. Cookies and analytics

The website uses only the cookies it needs to work and to remember your choices. Analytics is not switched on yet. When it is, we will ask for your consent first through a banner, and you will be able to refuse or change your choice at any time. Refusing does not stop you using the website.

If you buy the book, the payment window is provided by Razorpay and loads only when you choose to pay. Razorpay sets its own cookies and applies its own privacy policy at that point.

The booking calendar on our home page is provided by Calendly and loads shortly after the page opens. Calendly sets its own cookies and applies its own privacy policy. If you would rather not load it, use the enquiry form on the contact page instead.

8. How we protect your data

The website is served over an encrypted connection. Access to enquiry records is limited to the people who need it. We review our tools and access regularly. No system is completely secure, so if a personal data breach happens we will inform the Data Protection Board of India and affected people as the law requires.

9. Children

Our services are for working professionals and organisations. We do not knowingly collect personal data of anyone under 18. If you believe a child has given us data, write to us and we will delete it.

10. Links to other websites

This website links to LinkedIn and may link to a payment gateway, a booking tool and other services. Their own privacy policies apply once you leave our site.

11. Changes to this policy

We may update this policy as the business and the law change. The date at the top shows the current version. Significant changes will be announced on this page.

12. Contact and grievance redressal
